ERP Implementation in the Philippines: What to Expect and How to Prepare
ERP implementations are transformative — but they are also complex. Based on CBSI's experience implementing Hansa ERP and AccountingSuite for Philippine businesses, here is what to expect and how to set your project up for success.
An ERP implementation is one of the most significant investments a growing Philippine business will make. Done well, it eliminates data silos, automates manual processes, and gives management real-time visibility across the entire organisation. Done poorly, it disrupts operations, demoralises staff, and delivers none of the promised benefits. The difference between the two outcomes is almost always preparation.
The first thing to understand is that an ERP implementation is a business transformation project, not an IT project. The technology is the enabler — but the real work is redesigning your processes, cleaning your data, and training your people. Businesses that treat ERP as a software installation consistently underestimate the effort required and are disappointed with the results.
Data migration is typically the most time-consuming phase. Your chart of accounts, customer and vendor master data, inventory items, and opening balances all need to be extracted from your legacy system, cleaned, mapped to the new system's structure, and validated. CBSI recommends starting the data audit at least three months before your target go-live date.
User training is the most commonly underinvested phase. A well-configured ERP system that nobody knows how to use is worthless. CBSI structures training in two phases: role-based training before go-live (so each user understands their specific workflows) and refresher training in the first month after go-live (when real-world questions emerge).
Go-live timing matters. Avoid going live at the start of a peak business period, at year-end, or immediately before a major BIR filing deadline. The first month on a new system always involves a higher-than-normal support load, and your team needs bandwidth to manage it.
Post-go-live support is not optional. Plan for at least three months of intensive support from your implementation partner after go-live. This is when edge cases surface, reports need refinement, and users develop the confidence to use the system independently.
